Executive Assistant

Hours:  8:30am-5:30pm, some flexible hours

Reports to:  Financial Director & Human Resources Manager

Condition of Employment:  Full-Time; Contingent upon funding

Salary:  Commensurate with experience

Job Description

Perform a variety of accounting, administrative, and human resources responsibilities in support of the CEO, Finance Director, and Human Resources Manager.

Working Conditions

Work performed majority of time indoors in office setting, temperature-controlled environment.  Ability to function proficiently in a highly crisis-oriented environment.  When working outdoors unloading and placing donated materials, subject to weather conditions and uneven surfaces. Light lifting up to 25 lbs. regularly.

Responsibilities
  • Provide administrative support to Finance; tasks include but are not limited to; maintain employee payroll files, accounts receivable, accounts payable, payroll duties as a backup to the director, and maintain grant files.
  • Provide administrative support to Human Resources; tasks include but are not limited to; maintain files, process paperwork to recruit and hire staff, schedule appointments and interviews, generate letters and other correspondence.
  • Work with CEO to develop donor correspondence and track donor data.
  • Support the Board of Directors as directed by the CEO and Executive Team.
  • Courteously greet, screen and assist incoming calls and visitors at the front desk.
  • Provide general information as appropriate, screen calls or requests then direct to appropriate person if unable to resolve.
  • Check visitors in for appointments; verify or collect current confidentiality agreement, notify staff and provide required paperwork.
  • Assist in receiving and unloading donation of clothing, household and other items as assigned.
  • Keep office and area clean and organized.
  • Secure and maintain documents in confidential location at all times.
  • Maintain a professional office; discourage personal conversations and ensure that staff do not linger.
  • Cross train and cover other administrative assistant positions as needed when staff are out on leave.
  • Post-offer drug/alcohol screen, TB test and background check. Current CPR Certification. COVID – 19 Vaccination record or qualified exemption required prior to hire.
  • Warm, empathic, and non-judgmental with demonstrated ability to maintain healthy boundaries with clients and staff.
  • Other duties as assigned.
Expectations:

  • Assist donors with unloading items into carts and pushing carts to outside donations area when needed.
  • Pick up bags or boxes of donations from outside front area or lobby area to maintain clear paths.

  • Maintain strict confidentiality per agency policy.
  • Demonstrate positive leadership and work cooperatively with others.
  • Model respect, understanding and appreciation for all people.

  • Ability to multi-task, prioritize and work under pressure without losing sight of objectives.

Qualifications:

  • High School Diploma or equivalent.
  • A minimum of five (5) years full-time experience in accounting/ bookkeeping with administrative responsibilities. Must be proficient with Microsoft Office programs. Prior experience with Quick Books is required.
  • Bilingual in Spanish/English helpful
