Volunteer Coordinator

Hours:  8am-5pm, some flexible hours

Condition of Employment:  Full-Time; Contingent upon funding

Responsibilities: Will administer all aspects of the organization’s volunteer program including recruiting, screening, training, and supervising volunteers in the Dona Ana and Luna County region.

Recruitment Strategy and Planning
  • Work with program staff to develop a long-term strategy for recruiting volunteers based on need. 
  • Build and recruit committee that actively engages current volunteers, community leaders, board of director members, and staff to assist with recruitment of prospective volunteers. 
  • Create and develop sustainable and manageable internal systems for efficient and informative prospecting, onboarding, and tracking of volunteers at each site. 
  • Develop an always available approach to recruitment that leverages technology such as automation, live chat, chatbots etc, easy to follow informational videos and FAQ pages. 
  • Participate in presentations put together by the Outreach department to prospective organizations, companies, faith-based groups, and schools to relay our mission and volunteer recruitment opportunities. 
  • Attend community-based events alongside with our Outreach Department to recruit and educate volunteers prospective responsibilities, the organization’s mission, and any upcoming events in need of volunteers. 
  • Design formal or informal activities to recognize the contributions of volunteers to the organization. 
Data Analysis
  • Consistently analyze, interpret, and report data, trends, challenges, and opportunities that affect the recruitment strategy. 
  • Work with the CEO to track volunteer and recruitment activity. 
  • Maintain volunteer database and record keeping of volunteer information and hours. 
  • Interpret and maintain data to properly keep track of unique trends that can affect processes and recruitment strategies, and suggest strategic improvements. 
  • Proactively review recruitment activity daily, summarize and report-out weekly, and demonstrate progress toward goals monthly. 
Team Management
  • Work collaboratively with directors to determine volunteer needs within their departments/programs and assign volunteers that most closely match needs to ensure positive volunteer experiences and good internal customer service.  
  • Schedules, coordinates, and assigns volunteers to appropriate departments, supervisors, and/or mentors.  
  • Recruits volunteer staff to fit these roles using a variety of resources and techniques.  
  • Serve as the leading point of the recruitment team, to encourage collaboration and consistent communication between all parties and offices. 
  • Gathers information about each volunteer’s skills, availability, and goals; matches volunteers with appropriate opportunities based on this data.  
  • Ensure the recruitment team has the tools and resources they need to be successful in their roles.  
  • Regularly communicates with volunteers to ensure placement is a good fit for individual’s skills and goals. 
  • Maintains files, records, applications, and other data concerning volunteer program. 
  • Drafts, maintains, and publishes guidelines, best practices, and procedures for volunteer program. 
  • Coordinates volunteer recognition and appreciation events and activities.  
Other
  • Ongoing professional development through attendance of trainings and seminars
  • Attendance at all agency staff meetings
  • Ability to drive agency vehicles on a daily basis to project areas including all rural communities. 
  • Must be able to lift 15 pounds at times
  • Other Duties as Assigned

Qualifications:

  • Bachelor’s Degree or equivalent work experience.
  • 2-3 years of recruitment, sales, or related experience required. 
  • Excellent project management and time-management skills required. 
  • Highest level of customer service; 3+ years required. 
  • Experience executing events and meetings required. 
  • Public-speaking and presentation experience required. 
  • Proficiency with Microsoft applications and Zoom. 
  • Experience using digital marketing resources for promotion, stewardship, and communication
  •        such as social media, email platforms like Outlook, and design tools like Canva. 
  • Familiarity with the social, cultural, and economic make-up of New Mexico. 
  • Excellent oral and written communication skills. 
  • Maintains confidentiality throughout daily operations. 
  • Able to maintain boundaries with clients. 
  • Access to a reliable automobile, valid driver’s license and automobile insurance. 
  • Organized, flexible, reliable team player.
